🔹 Employee not appearing in Supervisory Organization — what will you check first?

  • Check if employee is assigned to correct Supervisory Org

  • Verify effective date (future/past issue)

  • Confirm hire BP completed successfully

  • Check if employee is in inactive/terminated status

  • Validate position is linked to the correct org

👉 Most common cause: wrong org assignment or future-dated hire


Interview Answer:

“In Workday, I first check the effective date of the hire or staffing transaction. If it’s future-dated, the worker won’t be visible yet. If it’s past-dated, I validate whether the employee has already moved to another Supervisory Organization, check the current staffing assignment, and confirm there are no issues with organization assignment or business process completion.”


🔹 What is a Transaction in Workday?

"In Workday, a transaction simply means any change or action performed on a worker’s record.

👉 It’s not just hiring — it includes all updates that affect employee data."


🔹 Worker record exists but not visible in reports — possible reasons?

  • Security access issue (domain/report security)

  • Report has filter conditions (e.g., active workers only)

  • Worker is inactive or terminated

  • Effective date mismatch

  • Worker in different company/org not included in report

👉 Top reason: security + report filters


Interview Answer:

“In Workday, if a worker record exists but is not visible in reports, it could be due to security or report configuration issues. The user may not have domain security access to view worker data, or the report may be restricted to a specific security group. Additionally, the report might have filter conditions such as active workers only, so terminated or inactive employees won’t appear. It can also be due to effective date mismatch or the worker being in a different organization not included in the report.”


🔐 How to Get Security Access and Report Access?

“In Workday, security access is managed by the security or HRIS admin team. As a user, I first identify whether it’s a domain or report security issue, and then raise a request to the admin team to provide the required access, usually by adding me to the appropriate security group or updating domain permissions.”


🔹 Real-Time Scenarios

✅ Case 1: You can’t open the report

👉 Reason: Report Security issue

✔️ Action:

  • Raise a request to get access

  • Ask to be added to the required security group


✅ Case 2: You can open report but see no data

👉 Reason:

  • Could be Domain Security

  • OR report filters

✔️ Action:

  • First check filters

  • If still issue → raise request for domain access


🔹 Manager changed but security not updated — why?

  • Security is based on role assignment, not just manager field

  • “Refresh/Activate Pending Security Policy Changes” not run

  • Delay due to security propagation

  • Manager change BP not fully completed

👉 Key point: Workday security ≠ automatic with manager change


🔹 Employee stuck in Onboarding — how do you debug?

  • Check Business Process (BP) status

  • Identify which step is pending (task/approval)

  • See if it’s assigned to wrong user/security group

  • Check condition rules blocking next step

  • Review BP event history

👉 Start with: “View Business Process” → track stuck step


🔹 Terminated employee still showing as active — root cause?

  • Termination effective date is future

  • Report filters include active + future workers

  • Termination BP not completed

  • Using “as of date” incorrectly in report

👉 Most common: future-dated termination


🔹 Future-dated hire not visible — why?

  • Reports usually filter Current/Active workers only

  • Hire date is in future → not active yet

  • Need to use “All Workers” or future-dated report

  • Security may restrict pre-hire visibility
